Winter Haven HVAC answering service: every after-hours call, written down right.
When your Winter Haven shop is closed or slammed, BackupRing answers. Callers hear up front that it’s an AI assistant and that the call is recorded. It sorts real emergencies from next-morning jobs, answers in English or Spanish, and texts you a summary of every call. We’re a short drive away in Auburndale.
Call (813) 798-0912 or email hello@backupring.com. Our team is in Monday to Friday, 8 AM to 5 PM Eastern. The AI receptionist answers 24/7.
What your phones are up against.
- Heat: NOAA’s Winter Haven station averages about 115 days a year at 90°F or hotter, and Winter Haven’s Gilbert airport station about 121 (1991–2020 normals, Winter Haven, Gilbert airport).
- Storms: during Hurricane Milton, Winter Haven’s Gilbert airport measured gusts of at least 76 knots (about 87 mph) before its record became incomplete (NHC Tropical Cyclone Report, Milton).
- Language: 18.6% of Winter Haven residents age 5 and over speak Spanish at home (±3.0 points), and 47.2% of them speak English less than “very well” (U.S. Census Bureau, ACS 2020–2024 5-year, table S1601).
Figures are from the public sources linked, as published. We don’t have call data from Winter Haven shops yet, and we won’t make any up.
The calls your script is built around.
These are typical situations we write into a Winter Haven shop’s script. You approve every rule before it takes a customer call.
- Water through the ceiling at 11 PM. In a humid summer, a clogged condensate line can overflow the drain pan. The assistant asks whether water is coming through the ceiling, gives the shut-off guidance you approve, and decides by your rules whether it’s a transfer now or a first-thing-tomorrow job.
- Saturday with the office closed. Weekend calls are often a mix of real emergencies and “can someone come Monday?” The assistant handles both: transfers the urgent ones, books or takes the rest, and you see everything in your texts.
- A Spanish-first caller. Almost half of Winter Haven’s Spanish speakers told the Census they speak English less than very well. The assistant answers in Spanish from the first question, so details aren’t lost in translation.
The assistant is not a medical or emergency service. It points callers to 911 for medical emergencies and, for a gas smell, tells them to leave the building and call the gas utility or 911 first.
Answered in the caller’s language.
Spanish is included on every plan, not saved for a top tier. Emergency rules, warm transfer and storm surge mode work the same in both languages.

Winter Haven questions.
Do you work with Winter Haven HVAC and plumbing shops?
Yes. We’re based next door in Auburndale and work only with Florida HVAC and plumbing shops. Setup can be in person or by phone.
Can it tell a real emergency from a next-day job?
Yes, by the rules you set. For example: no cooling with someone vulnerable at home, or water coming through a ceiling, gets transferred to on-call. A noisy unit that still cools gets booked for the next open slot. You approve the script before it takes a call.
Is Spanish extra?
No. English and Spanish are included on Starter, Pro and Premium.
What happens to calls when the AI can’t help?
It hands off to you or your on-call tech by your rules, or takes a detailed message for a callback. Callers can always ask for a person.
How much is it after the pilot?
Starter is $249 a month with 300 minutes, Pro $497 with 800, and Premium $797 with 1,500. No setup fee on Starter or Pro; Premium setup is $497, waived with 6 months prepaid.
