Florida HVAC answering service

Built for Florida AC calls: heat, storms and all.

BackupRing is a done-for-you AI phone receptionist for Florida HVAC and plumbing shops, run from Auburndale in Polk County. It answers every call 24/7 in English or Spanish and tells callers up front that it’s an AI assistant and that the call is recorded. It triages no-cool emergencies and hands off to your on-call tech when a person is needed.

Everything below is part of the script we set up with you. You approve it before it takes a single customer call.

Storm and heat-wave surge mode

When the whole county calls at once.

After a hurricane, a tropical storm or a run of heat-index days, phones light up and a voicemail box fills in minutes. Surge mode is a version of your script built for those days:

  • Fast triage. The assistant asks the few questions that matter (Is the system off or just weak? Is anyone at risk in the home? Is there water or storm damage?) and keeps routine calls short.
  • Every callback captured. Name, number, address and the problem are collected on every call, so your team can work the list in order.
  • No-cool emergencies first. Calls where the AC is out and someone vulnerable is in the home are flagged as priority and handled under your emergency rules.
  • Honest wait times. The assistant can share the message you approve about how busy you are, instead of promising a time you can’t meet.

You decide when surge mode turns on and what counts as urgent. You get a text summary of every call, so nothing gets lost in the rush.

Emergency rules for heat-vulnerable homes

No AC with an elderly parent, a baby or someone medically vulnerable at home.

In Florida, a dead AC isn’t only an inconvenience. When a caller says an elderly person, an infant or someone with a medical condition is in the home, your script can:

  • Flag the call as priority and text you right away.
  • Warm-transfer to your on-call tech, briefing them before connecting, under the rules you set. Warm transfer is included on every plan, including Starter.
  • Give basic safety guidance you approve, like moving to the coolest room or to a cooled space nearby (a neighbor’s or family member’s home, or a public cooling center), drinking water, and calling 911 right away for signs of heat illness such as confusion, fainting or a very high body temperature.

The assistant is not a medical or emergency service and doesn’t give medical advice. Its job is to get the caller to your team fast and point them to 911 when it’s a medical emergency. For a gas smell, it tells callers to leave the building and call the gas utility or 911 first.

Spanish on every plan

English and Spanish, from Starter up.

Many Florida households would rather call in Spanish. English and Spanish answering is included on every BackupRing plan, not only the top tiers. Emergency rules, warm transfer and surge mode work the same in both languages.

Honest AI, done by a person

Your callers talk to an AI. A person sets it up and keeps it sharp.

We’re upfront about it. Callers talk to an AI receptionist that sounds natural, says it’s an AI, and hands off to a human when a caller asks or the call needs one. Most AI phone tools stop there and leave the setup to you. We don’t:

  • A missed-call audit run by a real person. A lunch-hour test call to your shop and a one-page report on what happened.
  • A script you approve. We build it around your services, service area, hours, emergency rules and Florida season, and test it before it goes live.
  • Ongoing tuning. We review real calls and adjust the script as your business and the weather change.

Human support is available Monday to Friday, 8 AM to 5 PM Eastern. The AI receptionist answers 24/7.

Our first Florida shops

We’re taking our first Florida shops now.

You won’t see testimonials or results here yet. We’re new, and we won’t make them up. Each shop starts with a free 14-day pilot and a day-14 report of the calls we caught. With their permission, we’ll publish those numbers so other Florida shops can see real results. See the free pilot.

Local pages

Where we work.

Each page covers local heat and storm history, how many residents speak Spanish at home (U.S. Census), and the after-hours calls we plan for there:

FAQ

Florida questions.

Do you only work with Florida shops?

Yes. We focus on local HVAC and plumbing companies in Florida and are based in Auburndale in Polk County. If you’re elsewhere, get in touch and we’ll tell you whether we can help.

Is recording calls legal in Florida?

Florida is an all-party consent state (Fla. Stat. 934.03), so everyone on a call generally has to consent to recording. Every BackupRing call opens by telling the caller they’re speaking with an AI assistant and that the call is recorded, before the conversation starts. If a caller doesn’t want to be recorded, the script can offer a callback from your team. This isn’t legal advice. Check with your own attorney.

What is storm and heat-wave surge mode?

A version of your script for hurricanes, tropical storms and heat waves. It switches to fast triage, captures callback details from every caller, and puts no-cool emergencies first, especially homes with elderly people, infants or medically vulnerable people. You approve it and decide when it turns on.

Is Spanish included on Starter?

Yes. English and Spanish answering is included on every plan: Starter, Pro and Premium.

Will callers know they’re talking to an AI?

Yes. Every call opens by saying the caller is speaking with an AI assistant, and it never pretends to be a person. When a caller asks for a human, or the call needs one, it hands off to you or your on-call tech by your rules, or takes a message for a callback.

Free missed-call audit

Find out how many calls you’re missing.

A real person from BackupRing places a polite test call to your shop during a busy weekday time, usually the lunch hour. We don’t record it. You get a one-page report, whether or not you work with us. Then, if you like, try BackupRing free for 14 days on your real calls.
