Cost guide

How much does an answering service cost for an HVAC shop?

Short answer: anywhere from about $29 a month for an app built into your field-service software to several hundred dollars a month for a done-for-you service. BackupRing is $249, $497 or $797 a month. Here’s exactly what you get, what costs extra, and when a cheaper option is the better choice.

Your options

Four ways HVAC shops cover the phone.

  • Apps built into your field-service software. Often a low-cost add-on, starting around $29 a month, sometimes with per-conversation fees on top. They answer and take messages inside that one platform, and you set them up yourself.
  • Self-serve AI receptionist apps. Commonly start around $49 a month. You sign up, configure the script and keep it current. Features like call transfer are often saved for higher tiers.
  • Human answering services. Usually billed per minute or per call, so costs climb with your call volume and spike during storms and heat waves.
  • Done-for-you AI receptionists, like BackupRing. A monthly plan where the provider builds, tests and tunes the receptionist for you.

What costs extra: minutes beyond your plan (calls under 20 seconds don’t count), the one-time $497 setup on Premium (waived with 6 months prepaid), and any applicable taxes. Call forwarding uses your existing number and carrier. Every shop can start with a free 14-day pilot.

Why $249 instead of a $29–$49 app?

Cheap apps answer the phone. We set up how your phone gets answered.

If all you need is someone to pick up and take a message, a low-cost app or the receptionist built into your field-service software may be enough, and we’ll tell you so on your audit call. Here’s what the extra buys:

  • Florida emergency triage. No-cool calls with elderly people, infants or medically vulnerable people in the home are flagged as priority, and a storm and heat-wave surge mode is ready for the days everyone calls at once.
  • Warm transfer to your on-call tech on every plan. Not saved for a higher tier.
  • Spanish on every plan.
  • Recording consent built in. Every call opens with an AI and recording disclosure, which matters in an all-party consent state like Florida.
  • Done for you. A person runs your missed-call audit, writes and tests the script, and you approve it. No configuring it yourself after hours.
  • Ongoing tuning. We review calls and keep improving the script instead of leaving it as it was on day one.
The math

One recovered AC job can cover a month.

HomeAdvisor reports that most homeowners pay about $417 for an AC repair, with common fixes running $172 to $664 (HomeAdvisor, AC repair cost guide, updated 2026). That’s a homeowner’s bill, not your profit. Still, a single repair call you’d otherwise lose to voicemail is in the same range as a month of Starter, and a replacement lead is worth far more.

Your numbers will be different. That’s why we start with a free missed-call audit. It shows how your phones actually get answered before you spend anything.

FAQ

Cost questions.

How much does BackupRing cost?

Starter is $249/month with 300 minutes, Pro is $497/month with 800 minutes, and Premium is $797/month with 1,500 minutes. Every plan includes emergency warm transfer to your on-call tech and English and Spanish answering. All plans are month to month. There’s no setup fee on Starter or Pro. Premium has a one-time $497 setup fee, waived if you prepay 6 months. Extra minutes are $0.35/min on Starter and Pro and $0.30/min on Premium, and calls under 20 seconds (hang-ups, wrong numbers) don’t count toward your minutes. Before you pay anything, you can try BackupRing free for 14 days on your overflow and after-hours calls, with no card needed.

Is there a setup fee?

Not on Starter or Pro. A person still builds your script, emergency rules and transfer settings, sets up forwarding, tests it and walks you through it for sign-off, at no charge. Premium has a one-time $497 setup fee for the extra CRM, multi-location and lead-callback work, waived if you prepay 6 months. Either way, you can try BackupRing free for 14 days before paying anything.

My field-service software already has an AI receptionist. Why pay more?

It might be enough, and if it is, keep it. Built-in receptionists and low-cost apps mostly answer and take messages, and you configure them yourself. BackupRing is done for you, with Florida emergency triage, warm transfer to on-call, Spanish and surge mode on every plan, plus a person who reviews calls and tunes the script. Direct booking into ServiceTitan, Housecall Pro and Jobber is coming soon.

Is there a contract?

No. Every plan, including Premium, is month to month. There’s no annual contract.
